Steal a march on the competition

spend less time on paperwork & more time doing what you do best…serving your customers

Simplicity should not come at the expense of professionalism

What you need

Being a sole trader or building contractor (such as a plumber, electrician, builder, or decorator), keeping a track of your activities is vital to the smooth running of your business.

A professional, easy-to-use invoicing product helps to ensure you can bill promptly, get paid on time, stay organised, and meet your legal and tax responsibilities.

Whilst Invoicing is just about the most important activity at the end of a job, it’s also about maintaining a good relationship with your customers, showing professionalism, and keeping your business finances on track.

Envoyce is an invoicing platform that was designed specifically for sole traders & small business to use. We started with a notion that most small business aren’t that enamoured with invoicing in the first place and certainly didn’t want to spend hours learning accounting principles.

We took design cues from existing familiar apps and poured over the interface design to ensure that each button, each feature is well constructed and easy to use. We’ve made Envoyce intentionally focused on a simple and efficient workflow, rather than a hundred & one unused bells and whistles.

Specifically, Envoyce is designed to be:

Envoyce allows you to create “Day Rate” products

Quick & Easy Invoice Creation

When you're working on-site or juggling multiple jobs, you need to be able to create and send invoices quickly. Envoyce lets you set up customer details, add commonly used services or materials, and generate an invoice in just a few clicks.

It works on a browser, so it's just as happy on your mobile phone, allowing you to invoice straight from your van or the job site.

Present a polished and professional image.

Professional

Your invoice is often the last impression a customer gets & it should look professional and trustworthy. Envoyce allows you to add your logo, business name, address, and contact details. When you create your invoices it should include:

  •  A Job description or work carried out
  • Labour charges by day or hour
  • Materials or parts used
  • Dates of work
  • Payment terms and due date

Custom notes like “Thank you for your business” or “Please pay within 7 days” add a personal, professional touch.

Payment Tracking and Reminders

Getting paid on time keeps your business running. Envoyce makes it easy to see which invoices have been paid and which are overdue.

Envoyce allows you to send reminders, giving your customers a little nudge to get them to settle up. This helps reduce time spent chasing late payments.

Envoyce provides clear visibility into which invoices have been paid, the invoice that are due, and ones that are overdue.

Flexible Pricing & Job Breakdown

Tradespeople often price jobs differently, some charge an hourly rate, others provide fixed quotes, and many use a combination of both. Envoyce allows you to

  • Charge Labour by the hour or day for individuals or small groups
  • Fixed-price jobs or project quotes
  • Separate lines for materials and parts
  • Call-out fees or weekend rates

Being able to clearly show what’s been charged helps avoid disputes and builds trust with customers.

Even if you’re not VAT registered, staying organised and keeping on top of invoicing makes your job far less stressful.

Financial tools helps with tax preparation and gives you a clear picture of how your business is performing.

Financial Tracking

To stay on top of your business, you need to know what’s coming in. Envoyce offers a dashboard of indicators showing:

  • Receipts, Sales and Overdue totals
  • Monthly or yearly income trends
  • Outstanding payments
  • Emailing & recent activity logs

These financial tools helps with tax preparation and gives you a clear picture of how your business is performing.

Customer and Job Management

Many sole traders work with repeat customers or run several jobs at once.

Envoyce allows you to store customer contact details, view job history, and sort invoices by project or address. This makes it easier to keep track of ongoing work and respond quickly to customer queries.

Having a robust invoicing process in place helps maintain clarity, reduces disputes, and projects a professional image.

Summary

For UK tradespeople working as sole traders, whether you’re a plumber, electrician, builder, or decorator, a good invoicing product is an essential business tool. It should be quick to use, look professional, support different types of pricing, help with tax compliance, and make it easy to track payments.

Envoyce has been written to meet all these requirements. It’s been specifically designed so that you spend less time on paperwork and more time doing what you do best…serving your customers and growing your business

Construction Trades (Builders, Electricians, Plumbers, etc.)

Let your business grow, we'll take care of the invoices.

Why Envoyce works well on‑site

For those in the construction trades, much of your work happens out in the field, in domestic houses, building sites, or in clients’ premises. You don’t always have the luxury of returning to an office just to issue an invoice. Envoyce is browser‑based and works well on a mobile or tablet, letting you invoice directly from wherever you have signal.

Because it uses a “click & select” workflow, you can build an invoice quickly with minimal typing, handy when you don’t want to fiddle with menus while mucky or in tight time windows.

Copy old invoices and change just the bits that need changing & dispatch.

Transparent job breakdowns reduce disputes

In trades, clients often expect detailed labour timings, materials, parts, call‑out fees, separate lines for electrical parts, plumbing fittings, etc. Envoyce allows you to break out jobs line by line, labour by hour or day, materials, parts, even a shipping line if needed...all customisable if you need it.

This transparency helps avoid disputes or confusion (“Why am I being charged for this or that?”). It also gives clients confidence that you’re not hiding markups, which builds trust and may help you get paid on time.

Knowing what’s due, and chasing it

One of the challenges in construction is cash flow timing. You may have multiple ongoing jobs, awaiting payment, and overlapping costs (materials, subcontractors, etc.). Envoyce gives you a dashboard view of unpaid/overdue invoices and income trends.

You can filter invoices by “awaiting payment” or “overdue,” making it clearer which clients to nudge.

Professional finish and compliance

Even in trades, your invoice often forms a client’s final impression of your business. Envoyce allows branding (logo, address, contact) so your invoice looks neat and credible.

If you’re VAT‑registered, you can insert your VAT number, show VAT lines, and maintain HMRC‑compliance.

Not perfect...yet

While very capable, Envoyce currently does not support built‑in payment links in its core free version. Actually we strongly recommend that you use direct bank transfers instead, to avoid extra costs and complexity.

Also, Envoyce is not (yet) a full bookkeeping system and we recommend VT Transaction+ or Gnucash as free windows apps that pair nicely with Envoyce.

Frequently asked questions

Contact us on Facebook if you have a suggestion for improving Envoyce, a help video request or anything else.

Is Envoyce open source?

The core of Envoyce is completely free to use. It supports invoicing, customers, products as well as quotations. You can use it to send your customer invoices via email, Whatsapp or print them and send the old fashioned way.

Envoyce is not open source, but there is no subscription charge and the only potential limit to use is a "fair use" policy, which is a very common continuity measure that is designed to keep the service running for everyone.

To help keep the "lights on" we will be creating "add-on" packages that enhance & extend the Envoyce platform. We have "Time & Expenses", "HMRC VAT submissions" and "Cashbook" currently in production, with more to follow.

Will I get paid any faster?

The simple answer is "it's unlikely". Other vendors use that particular claim a lot, but you have to remember that when you send your invoice, it's really down to your relationship with your customer that denotes a prompt settlement. Payment links are an aid to that process, but no tech will compel your customer to settle on your timeline if they choose not to.

Envoyce doesn't curently support payment links, however payment links do have a place in certain circumstances and will be an option in future Envoyce releases to customers that require it.

Payment links also come with an extra cost element to your business, as the payment provider adds their fee to each transaction. We will always encourage your customer to pay you via their own online banking app. This has the benefit of being quicker and costs you nothing.

Can Envoyce produce full accounts?

No, not yet. Envoyce is currently only an invoice and quotations management platform. Although our development roadmap has "Cashbook" as a high prority, we don't have a production release as yet.

Many customers use Envoyce alongside a desktop accounts package that creates the reports that they send to their accountant. Should you require more integration, there are many commercial full accounts subscriptions available.

Can I use my own logo?

Absolutely, you can upload your own logo in the [Settings] section of the app. Your invoices from that moment on will have your branding on your PDFs. However, your Envoyce emails will not be branded.

For best results use a image with few colours. Customers printing out invoices may want to do so in a responsible manor, using the minimum amount of ink as possible.

The core version of Envoyce doesn`t currently support template selection or a custom typeface (font), however we are planning an add-on in future for customers that require that functionality.

Can Envoyce handle VAT?

If your business is registered for VAT with HMRC you are required to print the VAT number on your business invoices. During the Envoyce signup you will be asked if your business is VAT registered and prompted for the registration number. This number will be written to all your invoices and VAT will be enabled on your profile.

When you create products in Envoyce the default VAT percentage will be shown.

A VAT amount (even if zero) will be shown on your invoice.

When did Envoyce start?

All Envoyce data is fully encrypted to and from your browser.

We comply with all legislation to safeguard your data. We balance performance and usability with appropriate security policy & implementation. It's a pragmatic balance that allows you to access your quotes and invoices from any browser, on PC Mac and Smartphone.

We ensure that our systems are kept updated & security hardened, whilst being fast and fit for purpose.

Where can I get help?

We've written Envoyce to be as intuitive as possible. However, sometimes you just need a little bit of hand-holding to show you how it works.

To that end, we have created YouTube videos that talk you through the process of using Envoyce, creating invoices and quotations, handling arrears, sending email reminders and assigning categories, to name but a few.

Our help videos are the first port of call to learn how to use Envoyce. New videos are being posted regulary.

Contact us on Facebook if you have a video request or need specific help.

Can I export my data?

We don't current have an export function in Envoyce. However you do have full control over your data. You can download all your invoices & quotations to PDF files and manually delete all data that you create.

When you remove invoices, customers etc in Envoyce, it actually moves the item into the recycle bin. This is a safety feature to avoid mistakes against inadvertant deletion.

If you delete items from the recycle bin, the item is actually removed from our servers and cannot be recovered. You have been warned.

If you want to stop using Envoyce, you need do nothing. You account will automatically become stale at 90 days of non use. We'll email you that your account will be archived and them removed from our servers unless activity is detected.

Can I create multiple accounts?

Yes you can.

You can create multiple accounts that access your data. You can select the type of access you assign. Currently Envoyce supports:

Viewer: Read only access
Writer: Can create invoices but not remove them
Editor: Can create, edit and remove invoices
